The Invoicing section of Husky Intelligence allows you to create one-off Invoices or generate invoices from completed work orders.  When processing a work order into an invoice it conveniently transfers all of the information.  Again, you have the capability to add on to the default template or create new ones that are more suitable for you and your company.

Overview

Invoices can be created one of three ways:

  1. You can manually create an invoice by going into the Invoicing section.  From here you need to click the “Add New” button and fill in the necessary fields.
  2. After a work order has been marked completed by the field technician, you can go back into that work order and create an invoice by clicking on the button at the bottom that says, “Create Invoice.”
  3. From the Jobs section you can select all of the work orders you wish to invoice by checking off the box next to the customer name.  At the top of the list there is a “Generate Invoices” button that allows you to generate invoices for all of the selected work orders.

Creating a New Invoice

Add a New Invoice Manually

If you are having to create a one-off invoice, follow the steps below to do so.  Refer to the image on the right for assistance.

  1. From the Invoice section click the “Add New” button at the top of the list.  You may be prompted to select a form, if you have multiple invoice forms.
  2. Type in the customer name in the “Customer Name” field and select from the drop-down.
  3. Fill out the fields on the right side, if applicable (starting with Invoice Reference Number).
  4. Add any materials/products on the list.
  5. OPTIONAL: Add a message to be displayed on the invoice for the customer and internal notes.
  6. You can preview this with the “Open in reporting” or “Preview” button.
  7. You can save and close this invoice or click the blue arrow which allows you to send to the customer’s email.

Signature Capture

Our Signature Capture features allows you to have your customers sign-off on estimates, work orders, and invoices.  This feature greatly benefits those who want to ensure that a customer has signed off on a item prior to performing the job or coming to agreement on terms and pricing.  Check out our PowerPoint on the left which shows how the feature works.

Creating an Invoice from a Work Order

If you are wanting to create a single invoice for a work order, follow the steps below.  Refer to the image on the right side for assistance.

  1. From any screen click on the Jobs tab at the top.
  2. Select which work order from the list you would like to create an invoice for.
  3. Scroll to the bottom of the work order and click the “Create Invoice” button.  If you have multiple invoice templates, a box will appear asking you to select the appropriate invoice template.
  4. Make any corrections if necessary.  Otherwise, click one of the buttons at the bottom to either view it in reporting, save and close, or save and send.

The final, and most efficient, way to generate invoices for multiple work orders is batching.  While viewing the Jobs list all you need to do is select the work orders you wish to invoice and click the “Generate Invoices” button at the top.  Follow the steps below to properly batch invoices.

  1. From any screen click the Jobs tab at the top.
  2. Select the work orders you wish to invoice by clicking the boxes on the left-side for the appropriate customers.
  3. Click the “Generate Invoices” button at the top of the list.
  4. A pop-up box will appear asking you the following:
    1. Invoice Date
    2. Use Printing Layout
    3. Printing Method
    4. Group Invoices by Customer
    5. Invoice Template
    6. Invoice Type
    7. Internal Notes to Invoices
  5. You can either preview, generate now, generate and print, or generate and email the invoices.

Mobile Process

 

Currently, a user can access the Desktop view of the Husky Intelligence website on both a tablet and cellphone by using their device’s Internet browser.  All of the information listed above works the same way for mobile devices when accessing the Desktop view.

 

However, our Invoice section of the Mobile Application is being updated and will be released in the near future.  We apologize for any inconvenience this may cause for you.
